Handle Disparate File Formats

Batches of payment data may be received from a number of disparate billing or payment systems. In most organizations this data must be manually prepared before they are submitted for processing.

C-PAY Batch provides simple tools for mapping data from disparate data stores into a common format for automated submission. Once the mapping is set up, this functionality removes the need for manual intervention in the process and expedites the resolution of payments and settlement of funds. Because the data is mapped into a common format, a standard set of business rules can be configured and applied to all batches - regardless of their origin. This allows C-PAY Batch to optimise the use of payment gateways and merchant facilities.

Automated Update of Downstream Systems

After a batch has been processed by the external banking systems, the results are usually retrieved in the form of a file that is used to update an internal financial database. If a number of varied external processing systems or internal financial databases are used, the task of matching results with internal accounts becomes very complex.

C-PAY Batch provides a common interface for the processing of all types of credit card payment batches as well as a common method for the update of downstream systems. Using interface tools distributed with C-PAY Batch, a robust link to any ODBC compliant data store can be directly established. In this way customer management systems can be interfaced to C-PAY Batch without having to undertake any application development. Once the links are established, routing rules can be created in the C-PAY Administrator to determine what results are delivered to what downstream systems. The results of a single batch can be distributed amongst several databases or several disparate batches can be consolidated into one database update.

Immediate Reporting on Failed Transactions

When a batch file is sent to a third party for processing, it may take some time before results are returned. This delay means that customers remain in debt for longer than necessary and goods and services may be supplied without proper payment.

C-PAY Batch provides a flexible and immediately available source of reporting on all batch transactions. Using a simple point-and-click process, C-PAY Batch allows Administrators to generate reports on each and every transaction as soon as it has been processed. As C-PAY Batch marries the internal account and systems data with that returned by the bank, reconciliation and resolution of customer credit issues becomes a simple process. As the report formats and filters are completely under internal control, changing content and layouts is a short and straightforward task. This means strategic, tactical and operational requirements can be met without delay.

Batch Runs During Business Hours

Payment gateways process transactions on a first-come first-served basis. If a batch of transactions floods the payment gateway, the real-time requests may have to wait in line for some time. This queuing problem lowers the grade of customer service and can result in lost sales. To avoid this issue, most batch runs occur at night. Unfortunately, out-of-hours batch runs usually incur some form of extraordinary support overhead. In addition this causes a delay in funds settlement and mean errors will not be discovered until at least the next working day.

By assigning a queue priority to every transaction entering the C-PAY Server, C-PAY Batch can regulate the order in which transactions are forwarded to the payment gateway. If batch transactions are given a lower priority than C-PAY Real-TimeT transactions then, regardless of the volume of batch transactions, the grade of service on real-time payments will remain at an optimum level. In combination with C-PAY Batch routing rules, C-PAY ensures that every payment request is resolved in the shortest possible time and in the most cost effective manner.

Optimise Batch Submission via Multiple Payment Gateways

The efficiency of payment gateways is determined by the performance of a number of interconnected systems. The main purpose of these systems is to safely transmit transactions from businesses to the bank host and back again. Unfortunately, failure of one or more components in this chain is an all too common occurrence that results in business downtime and costly rework. The complexity of the payment gateway system also determines its rate of throughput and its risk of failure. Generally, the better performing the gateway, the more expensive it is to use.

C-PAY Batch allows organisations to spread their batch-processing load over numerous redundant bank links. This allows faster batch completion and minimises risk of downtime as C-PAY Batch routes and reroutes transactions according to configurable business rules for initial delivery and error management. In addition, C-PAY Batch can optimise the cost of payment gateways by determining when to use any installed payment gateway resource dependent any characteristic of the transaction or even the state of the current operating environment. As new payment gateways are released, C-PAY Batch allows businesses to add their functionality to the batch process without any need to change internal systems.
